Summary:
Under the direct supervision of the Support Services Supervisor, performs a variety of complex clerical duties and analyses to ensure the proper documentation and reporting of criminal activity, and to expedite the administrative processes of criminal justice.
Secures, stores, and disposes of evidence according to state and federal laws and department procedures.
Researches lost and found property and releases to owners.
ESSENTIAL DUTIES AND
Responsibilities:

Receives paperwork and official documents containing information on criminal activity, traffic violations, traffic accidents, and other related duties of the police department; scans documents and uploads images to computer database; prioritizes paperwork for data entry; retrieves audio files and documents; enters information into computer databases.
Files, maintains, retrieves, and ensures security of official documents; disseminates police reports and documents to various government entities; forwards information and documents to fellow employees and employees of other departments.
Assists customers in person and by telephone; directs individuals to other departments and agencies; receives records requests, releases information, police reports, and documentation; receives payments and reconciles receipts; prepares correspondence.
Translates information from crime reports according to state and federal standards and submits results; enters and retrieves data from state and federal computer systems in accordance with laws.
Works independently and in groups to complete special tasks and projects as assigned by supervisors; gathers and provides statistical data to employees and members of the public.
Performs various records tracking activities as needed to obtain driver license information, vehicle registration, Utah criminal history, NCIC, out-of-state vehicle registration, NCIC wanted persons, stolen vehicles, and property checks.
Retrieves electronic data from computer drives and other electronic devices and moves data to internal computer software.
Prioritizes data to determine if, and in what order, the data should be processed.
Operates computers, computer software, and voice recording/playing devices.
Transcribes and edits narratives, interviews, and other data.
Submits finished product for approval and disseminates accordingly.
Receives, sorts, and secures all property delivered to the evidence room; responsible for verifying evidence reports against property reports to ensure accuracy.
Handles monies submitted as evidence, safekeeping, or found property.
Operates computer system to enter submitted items into police department evidence tracking system.
Accountable for security and evidence of evidence room; responsible for preserving the critical chain of evidence; testifies in court when subpoenaed.
Determines the appropriate and lawful disposition of property; releases property to officers, property owners, the courts, and/or other agencies; maintains an accurate accounting of all property transfers and releases.
Coordinates the donation and release of unclaimed bicycles to the Children's Justice Center for auction.
Conducts periodic audits of property inventory; corresponds with officers and general public regarding disposition of property; matches stolen and lost property with property inventory.
Explains evidence room procedures to officers, the general public, and outside agencies.
Provides input into department policies regarding evidentiary procedures.
Performs non-emergency dispatch services for the department; identifies and dispatches available police units using Computer Aided Dispatch (CAD) system and police radio.
Performs other related duties as required.
MINIMUM
Qualifications:
Education and Experience Must have a high school diploma or the equivalent (GED).
AND Two (2) years of clerical experience, OR An equivalent combination of education and experience.
Necessary Knowledge, Skills, and Abilities Knowledge of the written English language with regard to proper grammar, spelling, and punctuation; ability to communicate both verbally and in writing.
Knowledge of computer operations and various software applications related to word processing, data entry, spreadsheets, and police records management systems.
Skill in the operation of a variety of office machines, including personal computers, fax machines, dictation equipment, etc.
Ability to operate and communicate over a police radio system.
Considerable knowledge of evidence laws and procedures.
Ability to exercise initiative, independent judgement and to act resourcefully under varying conditions; maintain strict confidentiality related to sensitive administrative and legal information.
Ability to work well with co-workers, officers, outside agencies, and the general public.
Ability to respond quickly and calmly to emergencies.
SPECIAL REQUIREMENTS:
Must have a valid Utah driver's license.
Must be eighteen (18) years of age or older.
Must acquire and maintain certification with Bureau of Criminal Identification (BCI).
Skill in typing, at least 50 wpm.
