Customer Service Representative - Utah Department of Corrections

JOB FOCUS
Performs a variety of duties as required to assure proper inmate student registration and record keeping at the State Prison in Draper. Assists instructors with clerical tasks.
RESPONSIBILITIES AND TASKS
1. Completes student registration process; reviews records for accuracy and completeness; prepares student's schedules and enters required schedule changes.
2. Collects hard copies of student records to be sent to Main campus for permanent storage in student files.
3. Produces, and notarizes promissory notes from inmates as required by Corrections contract.
4. Serves as primary point of contact for all student records requests at UDC facilities as designated in the contract.
5. Prepares reports as required by the Contract Manager, instructors or designated Corrections Officials.
6. Troubleshoots student registration problems; checks schedules and data not appearing on roll/record; and
makes corrections.
7. Assists students, instructors, and UDC personnel with obtaining copies of schedules and/or progress reports.
8. Assists teachers in obtaining information needed.
9. Operates computer to perform various secretarial duties; types letters, memos, correspondence; prepares
10. Spreadsheets; performs desktop publishing and special projects.
11. Responsible for data entry of student information as requested by instructors.
12. Goes to inmate blocks to present orientation information and completes enrollment process.
13. Performs other related duties as required.
Education and Experience
Graduate from high school plus six (6) months of specialized training in secretarial skills
Computer operation and general office practices and procedures
Record keeping or other related field
One (1) year of responsible experience performing related duties
Equivalent combination of education and experience
Knowledge, Skills and Abilities
Must have or obtain current notary public certification
Requires working knowledge of general office procedures and practices
Working knowledge of filing systems and telephone etiquette
Minimum of 35 WPM / some ability in 10-key operation
Strong skills in operation of various types of office equipment
Strong skills in computer applications and programs including word processing and spreadsheets
Ability to communicate effectively
Ability to develop effective working relationships
Ability to work independently and manage work assignments in high interpersonal contact environment
Attention to detail
Ability to deal effectively with stress caused by workload, time deadlines, and student issues
Requires flexible schedule, including possible evening work
Must successfully pass a criminal background check

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
