ECE Clerical Assistant

GENERAL PURPOSE
Provides customer service, support, and clerical functions for Custom Fit. Maintains the Custom Fit database and assists in coordinating and delivering employer training. May work a flexible schedule, including evening or weekend assignments to assist in the operation of Custom Fit.
RESPONSIBILITIES AND TASKS
1. Assists the Custom Fit Coordinator in research, coordination and delivery of all Custom Fit training.
2. Assists in scheduling classes, coordinating room assignments, and locating and ensuring set up of equipment.
3. Assists with the collection of Custom Fit invoices.
4. Ensures timely acquisition of books, supplies and curriculum materials.
5. Provides customer service, support, and clerical functions for Custom Fit companies, instructors, and students.
6. Collects, processes, and forwards payroll reports to the Fiscal Department.
7. Proofs Custom Fit material for submission to marketing and Public Relations Department.
8. Maintains Custom Fit databases as assigned.
9. Maintains a variety of filing systems.
10. Assists co-workers as needed and provides back-up.
11. Assists Custom Fit Coordinator in managing Custom Fit activity with other College Divisions.
12. Sets up and supports ECE day and extended day training classes as assigned by the ECE Director.
13. Under the direction of the ECE Director, coordinates with the department Representatives and College faculty and staff to insure the delivery of quality ECE training.
14. Prepares and submits appropriate training documents, contracts and reports.
15. Coordinates with ECE Directors to maximize utilization of Freeport Training Facility and Entrepreneurial Building.
16. Facilitates the delivery of customized training services to public, educational, and employer partners.
17. Assists in implementing quality curriculum design and development processes.
18. Follows processes, which maintain integrity of ECE data.
19. Serves as an advocate for the ECE Department and College in contacts with internal and external partners.
20. Works cooperatively within the College community.
21. Performs other related duties as required.
Education and Experience
Graduation from High School.
Minimum six (6) months of secretarial/clerical training.
One (1) year of responsible secretarial/clerical experience.
An equivalent combination of education and experience.

Solid organizational skills.
Typing speed of 40 wpm, operation of various types of office equipment, with proficiency in database applications, word processing and spreadsheets.
Ability to work independently and manage multiple work assignments.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
